Information and purpose

We collect your name, email address, organisation, question and desired outcome, together with a submission reference and timestamp. We use these to respond, assess the requested work and keep a record of the enquiry. The form does not subscribe you to marketing.

Legal basis

Where you contact us about entering a contract yourself, processing is necessary to take steps at your request before a contract. For business representatives and other correspondence, we rely on our legitimate interest in handling relevant business enquiries, balanced against your rights.

Storage and access

Enquiries are held in the website’s hosted database. Access to the enquiry overview is restricted to the authorised Coviny administrator. Hosting and infrastructure providers process information to operate the service; we do not sell enquiry data. Website hosting, authentication and external font resources may also process technical information under their applicable policies.

Retention

Enquiry records older than 12 months are automatically purged when the enquiry service processes a submission or an administrator accesses the overview or export. If an enquiry becomes a contractual relationship or must be kept for a legal claim, the necessary correspondence may be retained separately for that purpose. Infrastructure backup expiry may follow the hosting provider’s retention cycle.

Your rights

Subject to applicable law, you may request access, correction, erasure, restriction or portability, and object to processing based on legitimate interests. Send a request to the postal address above or reply to our correspondence. You may lodge a complaint with the Dutch Autoriteit Persoonsgegevens. Please do not submit sensitive personal information through this form.
